Billing paperwork, prepared for your approval

Books usually fall behind at the paperwork stage. Invoices go out late, receipts live in a phone camera roll, bills sit in an inbox and nobody has compared the vendor statement in months.

An invoicing assistant picks up those steps in QuickBooks or Xero. They prepare and send invoices from your instructions, follow up on overdue ones with polite reminders, attach receipts and enter bills so they are ready for you to approve.

Money only moves when you or your accountant move it. The assistant has no payment rights, does not touch bank details and leaves tax questions to your CPA.

How invoicing support is organized

Work starts with a look at how billing runs today: where job details come from, which invoice templates you use, what your payment terms are and how overdue accounts are handled. Those answers go into a short written procedure, so the assistant follows your rules instead of guessing.

Then it settles into routine. The assistant works in QuickBooks or Xero under their own login, with permissions that allow invoices and draft bills and nothing that pays. Reminders follow a schedule and wording you approve. Anything unusual, like a disputed invoice or a vendor asking to change remittance details, comes straight to you.

What the assistant needs from you

Before invoicing work starts, most providers ask for:

  • A user login in QuickBooks or Xero with permissions for invoices and draft bills, and no payment rights
  • Your invoice templates, payment terms and reminder wording
  • Where job or order details come from, such as a job tracker or a sales inbox
  • Who approves bills, and who approves credits
  • The folder structure your bookkeeper or CPA prefers
  • A contact for questions the records cannot answer

Logins should live in a password manager you control, and the assistant's user should be separate from yours.

Questions about invoicing and bookkeeping admin

Will the assistant give tax advice?

No. Tax questions, category choices with tax effects and filing decisions go to your CPA or tax preparer. The assistant keeps documents organized and lists open questions so your accountant can answer them. General federal information is on the IRS site.

Do you handle both QuickBooks and Xero?

Requests for both are common. Mention which product and plan you use, plus any add-ons for payments, receipts or job tracking, so the service partner can confirm the assistant can work in your setup before quoting.

Does the assistant need access to our bank account?

Usually not. Matching receipts and transactions happens in the bank feed inside QuickBooks or Xero, so online banking logins can stay with you. If a provider asks for banking access, ask which task needs it and whether a view-only option would do.
